Job Description

Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth operation of daily office functions, providing exceptional support to staff, clients, and visitors alike. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately Maintain organized filing systems, including digital records via Google Workspace and Microsoft Office applications Perform data entry, proofread documents, and ensure accuracy in all clerical tasks such as copying, scanning, and filing Support calendar management and scheduling for team meetings, appointments, and events using calendar tools Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs Handle office supply inventory management and coordinate maintenance or repairs as needed Support administrative projects such as preparing reports, managing correspondence, and maintaining office procedures Qualifications Proven administrative experience with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Experience with QuickBooks or other bookkeeping software is preferred Excellent phone etiquette with the ability to handle multi-line phone systems confidently Bilingual abilities are a plus to serve diverse client needs effectively Strong typing skills with high accuracy; familiarity with data entry and proofreading tasks Knowledge of clerical procedures such as filing, document management, and calendar coordination Exceptional time management skills with the ability to prioritize tasks efficiently Previous experience in customer service or reception roles such as dental or medical receptionist is advantageous Personal assistant or office support experience that demonstrates reliability and professionalism Join us in creating an organized, friendly, and efficient office environment where your skills will make a meaningful impact!
