Job Description
Job Overview We are seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team. This vital role combines administrative excellence with office management expertise to ensure smooth daily operations, exceptional support for leadership, and a productive work environment. Responsibilities Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace. Oversee office operations by supervising front desk activities, managing multi-line phone systems, and ensuring a welcoming environment for visitors and staff. Organize and coordinate company events, meetings, and travel arrangements to facilitate seamless execution of organizational initiatives. Handle bookkeeping and financial tasks such as invoicing, data entry, expense tracking, and utilizing QuickBooks for accurate record-keeping. Maintain meticulous filing systems—both digital and physical—and perform data entry tasks with precision to support administrative functions. Assist with project coordination by tracking deadlines, preparing reports, proofreading documents, and supporting team initiatives. Manage office supplies inventory, oversee vendor relationships, and ensure the overall cleanliness and functionality of the workspace. Support personal assistant duties as needed, including transcription, proofreading correspondence, and managing confidential information with discretion. Requirements Proven experience in office management or administrative roles with a strong background in executive administrative support. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools like DocuSign. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Strong communication skills with professional phone etiquette and customer service experience. Familiarity with bookkeeping software such as QuickBooks and basic bookkeeping principles. Experience with event planning, project coordination, filing systems, and front desk operations. High level of computer literacy along with typing speed and accuracy; ability to proofread and transcribe accurately. Ability to handle multi-line phone systems efficiently while maintaining professionalism at all times. Prior experience as a personal assistant or in office experience is highly desirable.
