Job Description

In Motion Physical Therapy is a sports-focused physical therapy practice on a growth trajectory. We're not your typical PT clinic mill. We're a small, high-performance team growing strategically, and we need someone who can keep our operational engine running while our clinical team focuses on what they do best. We are looking for a Practice Ofiice Manager who can orchestrate our administrative systems with precision, ownership, and foresight. This role is ideal for someone who enjoys building order, preventing problems, and keeping a fast-moving clinic running smoothly behind the scenes. What You'll Own You'll be the operational backbone—not a front desk receptionist, but the person who makes sure nothing falls through the cracks: Authorization & billing workflows : Own the entire process from submission through payment posting (you'll delegate to VAs, but you're accountable for results) Revenue cycle health : Hit conversion targets (80%+), collection rates (95%+), and catch expiring authorizations before they become problems Systems & reporting : Maintain KPI trackers, spot trends, flag issues early Team coordination : Use Asana to delegate and track tasks with VAs and front desk support—nothing disappears You'll report directly to the owner with weekly updates on what's working, what needs attention, and what you're fixing. Right Fit If:
You naturally create order out of chaos You spot problems three steps ahead Once the goal is clear, you run with it—no hand-holding needed You're tech-fluent (EMRs, Google Suite, Asana) and detail-obsessed Healthcare operations experience strongly preferred.

You need step-by-step direction for every task You have unpredictable availability or attendance You're looking for a traditional receptionist role You're uncomfortable with accountability metrics
Hours:
30-40 hours/week, Monday-Friday (Depending on Candidate)
Schedule:
Flexible within clinic hours (8 AM•6 PM)
Compensation:
$25•30/hour based on experience Reports to:
Practice Owner/CEO Coordinates:
2 VAs (billing and phone support), front desk staff, and clinical team
Pay:
$25.00•$30.00 per hour
