Job Description
About the Role At Mfused, operations don't run themselves—and this role is at the center of it all. As the Office Manager for our New York site, you are the first impression, the control tower, and the force that keeps everything moving. You own the day-to-day environment, connect people to what they need, and remove friction so the operations team can stay focused on production. You'll also play a key role supporting onboarding, documentation, and compliance—helping ensure the site is always prepared, organized, and ready for whatever comes next. This is a hands-on, figure-it-out role for someone who takes pride in ownership and thrives in a fast-moving environment. What You'll Do The following reflects the core responsibilities of this role. Serve as the first point of contact for employees, visitors, and partners 2. Create a professional, welcoming, and organized environment 3. Manage incoming communication, deliveries, and visitor coordination Operate as the Control Tower 1. Maintain awareness of site activity and connect people quickly to the right resources 2. Support communication flow across teams to keep operations running efficiently 3. Anticipate needs and address issues before they impact the business Own the Space 1. Oversee day-to-day office and facility operations 2. Coordinate with vendors, building management, and service providers 3. Manage supplies, equipment, and shared resources 4. Maintain a clean, organized, and functional workspace Support Onboarding & Team Experience (HR Support) 1. Coordinate onboarding logistics for new team members (badges, workspace, first-day readiness) 2. Support completion and tracking of onboarding documentation in partnership with HR 3. Help create a smooth, organized, and welcoming new hire experience 4. Direct team members to appropriate HR resources when needed (

This role supports HR processes but does not make employment decisions.) Support Administrative & Accounting Processes 1. Assist with document collection and follow-up (e.g., invoices, vendor forms, required paperwork) 2. Track and organize records to ensure timely completion of administrative requirements 3. Partner with internal teams to ensure documentation is accurate and complete Support Quality, Compliance & Site Readiness 1. Help maintain organization of site documentation required for inspections and audits 2. Support access control processes, including managing visitor logs and required documentation 3. Act as a point of coordination to ensure the site is prepared for internal and external inspections 4. Maintain awareness of compliance-related requirements and escalate issues as needed Coordinate Events & Culture 1. Plan and execute on-site events, team meetings, and engagement activities 2. Support onboarding experiences and team moments that reinforce company culture Remove Friction 1. Identify inefficiencies and take action to improve workflows 2. Step in wherever needed to support the site 3. Own problems through resolution What We're Looking For Required 1. Meets applicable state requirements for working in a regulated environment (must be 21+ years old) 2. Reliable, consistent, and accountable 3. Comfortable working on-site in a fast-paced operational setting Preferred 1. Experience in office management, operations coordination, or administrative support roles 2. Experience in manufacturing, warehouse, or regulated environments 3. Experience supporting onboarding, documentation, or compliance processes How You Work 4.
