full-time People Architects is leading a search for an Office Administrator & Scheduling Coordinator on behalf of an established, family-owned monument manufacturer and installer located in the Bronx and serving the greater New York area. If you enjoy keeping schedules organized, tracking important details, helping customers, and making sure nothing falls through the cracks, this could be a great next step. Role:

You'll help keep a small, close-knit office running smoothly while coordinating customer orders, delivery schedules, and installation paperwork. Your administrative skills will be especially important in tracking deadlines, maintaining accurate records, and keeping customers and the internal team informed. Delivery and installation coordination is a central part of the position. You'll organize the schedules, records, and communication that help drivers and installers complete their work on time. You'll learn cemetery-specific requirements and delivery procedures from an experienced team member during the transition. This opportunity suits someone who enjoys taking ownership of recurring responsibilities, learning the details of a business, and working with colleagues who pitch in wherever needed.

Key Responsibilities :

Answer calls and emails and assist business customers, including cemeteries, funeral homes, and monument dealers. Maintain the master order, delivery, and installation spreadsheet, keeping dates, status updates, and outstanding items accurate. Monitor upcoming deadlines throughout the day and follow up on missing information, paperwork, or scheduling changes. Coordinate delivery and installation appointments across multiple locations, working with drivers, installers, cemeteries, and the internal team. Keep customers informed about timing and help resolve questions or changes. Handle filing, data entry, light billing, and invoicing support. Maintain both digital records and paper files. Learn cemetery-specific rules and paperwork requirements, including deadlines tied to memorial ceremonies.

Qualifications:

Experience managing detailed administrative work, schedules, customer orders, or service requests. Strong organization and follow-through, with a reliable approach to managing several deadlines at once. Clear, professional phone and email communication. Comfort with Microsoft Office and basic spreadsheets for data entry and tracking; advanced formulas are not required. Willingness to work with both digital tools and paper-based processes. An adaptable, collaborative approach and comfort working in a small, informal, family-owned office. Ability to work fully on-site in the Bronx during the approximately 7:00am-4:00pm schedule. Experience in delivery scheduling, dispatch, routing, or installation coordination is helpful, but it is not required. Administrative experience involving time-sensitive work and careful follow-through is relevant preparation for this role. Compensation & Benefits Base salary of $65,000-$75,000, depending on experience. Medical insurance that is 100% employer-paid, with no employee payroll deduction. 401(k) with a 6% employer match. Training in the company's industry-specific processes and requirements. Location This position is fully on-site in the Bronx, approximately 7:00am-4:00pm.
