Job Description

Office Manager - Facial Plastic Surgery & ENT Practice We are seeking an experienced, highly organized, and patient-focused Office Manager to oversee the daily operations of a busy Facial Plastic Surgery and ENT practice supporting one physician. The Office Manager will serve as the operational leader of the practice, ensuring exceptional patient experiences, efficient workflows, regulatory compliance, and strong financial performance. This role requires a proactive professional who can manage administrative functions, supervise staff, coordinate patient care processes, and support the physician in achieving clinical and business objectives. Key ResponsibilitiesPractice Operations Oversee daily office operations to ensure efficient patient flow and a high standard of customer service. Develop, implement, and maintain office policies and procedures. Monitor office productivity and identify opportunities for operational improvements. Coordinate scheduling, resource allocation, and workflow management. Ensure compliance with HIPAA, OSHA, and other applicable healthcare regulations. Staff Leadership & Human Resources Supervise and support front office and clinical support staff. Recruit, onboard, train, and evaluate employees. Create staff schedules and manage time-off requests. Foster a positive, collaborative, and patient-centered workplace culture. Address employee performance issues and provide coaching and development. Patient Experience Ensure patients receive exceptional service throughout their care journey. Resolve patient concerns and complaints professionally and promptly. Monitor patient satisfaction and implement service improvements. Support cosmetic surgery consultation processes and patient communications. Financial Management Oversee billing, collections, insurance verification, and prior authorizations. Monitor accounts receivable and work with billing vendors or staff to optimize revenue cycle performance. Manage office expenses and assist with budgeting. Review financial reports and key performance indicators. Ensure accurate documentation and charge capture. Physician Support Collaborate closely with the physician to support clinical and business goals. Coordinate physician schedules, meetings, and special projects. Assist with practice growth initiatives, marketing efforts, and community outreach activities. Provide regular operational and financial updates to the physician. Vendor & Facility Management Manage relationships with vendors, suppliers, and service providers. Maintain inventory of office and medical supplies. Ensure facility maintenance, safety, and appearance meet practice standards. Coordinate equipment servicing and repairs. Compliance & Quality Assurance Maintain regulatory compliance and accreditation standards. Conduct periodic audits of office procedures and documentation. Implement quality improvement initiatives. Ensure staff adherence to privacy, safety, and infection control protocols. QualificationsRequired Minimum 3-5 years of healthcare office management experience. Strong knowledge of medical practice operations, scheduling, insurance verification, and revenue cycle management. Excellent leadership, communication, and interpersonal skills. Proficiency with electronic medical records (EMR/EHR) systems and Microsoft Office/Google. Ability to manage multiple priorities in a fast-paced environment. Strong problem-solving and organizational abilities. Preferred Experience in Facial Plastic Surgery, Cosmetic Surgery, ENT, Dermatology, Plastic Surgery, or other specialty medical practices. Knowledge of cosmetic procedure coordination and elective surgery scheduling. Experience with practice marketing and patient acquisition initiatives.
