We are looking for a Executive Assistant to help with many office & personal projects for the Executive team of 3. This is an important role for a person to take on a series of duties/tasks/projects and solve and manage many issues. __________
Job:
We are looking for a Personal/Executive Assistant/ Operations to execute a high volume of fast-turnaround projects for the Executive team of 3 — across a wide range of business, personal, and operational domains. This is a project-driven role. You will be handed issues that need to be researched, resolved, and closed out quickly — not managed indefinitely. The right person moves fast, uses every tool available (phone, email, online portals, AI tools, network) makes the calls, follows up relentlessly, and gets to the final answer. We expect some real-world experience across areas below. This is not a role for someone starting from scratch — it's a role for someone who has handled these kinds of issues before and wants to do more of them, faster, at a higher level. Domains You'll Work Across Legal:
Compliance research, contracts, filings, notarizations, disputes, IP and trademark matters, attorney coordination.
Financial & Accounting:
Bookkeeping support, billing disputes, unauthorized charges, reimbursements, reconciliations, expense tracking, tax prep, Excel-based budget tracking.
Bills & Outside Transactions:
Reviewing, negotiating, and closing out recurring bills, one-off invoices, vendor payments, and third-party transactions. Keeping a clean paper trail on every dollar moving in and out.
Purchasing:
Sourcing products, services, and supplies; getting quotes; negotiating terms; placing orders; tracking delivery; managing returns and warranties.
Real Estate:
Managing multiple properties — leases, taxes, permits, inspections, utilities, insurance claims, contractor scope, and municipal filings.
Contractor Management:
Coordinating GCs, electricians, plumbers, door/hardware vendors, architects, and specialty trades. Getting quotes, tracking scope, managing timelines, and holding people accountable.
Auto:
Registrations, title transfers, DMV paperwork (NY and NJ), leasing and financing, insurance, inspections, tickets, and dealer/mechanic coordination.
Insurance:
Property, auto, health, business, and liability — policy review, claims, appeals, supplemental claims, and premium negotiation.
Healthcare Management:
Appointments, referrals, prior authorizations, claims, appeals, records management, pharmacy coordination, and provider research.
Global Travel:
Flights, hotels, visas, ground transport, itineraries, and travel changes across multiple time zones.
Fashion Global Logistics:
Supporting import/export workflows, customs and duties .
IP Management:
Trademark filings, renewals, infringement tracking, and coordination with IP counsel.
Investment Management:
Tracking portfolio activity, reviewing statements, coordinating with financial advisors and brokers, and preparing materials for investment decisions.
Human Resources:
Onboarding/offboarding, benefits administration, policy documentation, and recruiting support.
Marketing Operations:
Supporting campaign execution, vendor coordination, asset tracking, and reporting across email, social, and e-commerce channels.
Software Management:
Managing subscriptions, licenses, renewals, contracts (SaaS vendors), user access, and negotiating terms.
IT Management:
Coordinating with internal and external IT staff, tracking hardware and software issues, managing user access and security, and keeping systems running.
AI & Data Analysis Management:
Using AI tools (ChatGPT, Claude, and others) to accelerate research and analysis; organizing data inputs and outputs; managing recurring analytical workflows and reporting.
Calendar Setting:
Scheduling across the executive team, coordinating across time zones, and keeping the calendar clean and conflict-free.
General Administrative:
Personal errands, online account management, paperwork, and any other task the executive team needs closed out. Important Qualifications Real experience in these areas above. You've handled insurance claims, negotiated bills, coordinated contractors, booked international travel, or managed vendors before — and you're comfortable jumping between domains in a single day.
Car:
You have a car, arrive early, and can run errands as needed.
Strong English communication:
Clear writing, reading, and speaking. You think clearly and explain situations in one or two sentences. Fast, organized, focused: You complete a high volume of work each day without losing track. Persistent, not easily frustrated: Most of these projects hit roadblocks — wrong department, denied claim, unresponsive vendor. You stay on it until it's solved.
Excellent phone skills:
You work through call trees, negotiate, push back on denials, and keep dialing until you reach the right person.
Serious about research:
You use every tool available — phone, email, online portals, AI tools, public records, government sites — to get to the final answer. You don't stop at the first result.
Accounting fundamentals:
You understand accounting principles, Excel, and financial terminology, and can track a budget.
Strong computer skills:
Excel, Word, Google Docs, ChatGPT and other AI tools, online portals, and general comfort navigating complex digital systems. Trustworthy with confidential information — legal, financial, medical, and personal details will pass through your hands daily.
Punctual and all-in:
On time, ready to work, putting 200% into every project. Takes notes, stays organized, works independently. Willing to roll up your sleeves and do whatever it takes to close a task. Responsibilities Execute fast-turnaround projects across every domain listed above. Make phone calls to service providers, government agencies, medical offices, insurance companies, banks, vendors, contractors, and attorneys — including billing disputes, appeals, and negotiations. Conduct in-depth research using web, AI tools, and direct outreach; return clear, actionable results. Complete and file paperwork accurately and on deadline. Coordinate with outside vendors, contractors, attorneys, medical providers, IT staff, and specialists; find and vet new ones as needed. Track every open issue through to resolution and surface status in weekly meetings. Manage calendars and scheduling for the CEO and executive team. Support office staff and operate as a team player. Keep confidential information secure and organized. What you'll learn: the fashion business, global logistics, finance, legal and regulatory processes, real estate and construction, investment management, and advanced research methods using AI and other tools. We'll guide you through each type of project early on, but we expect you to learn quickly and take ownership. This is a role that rewards experience, speed, accuracy, and persistence . The expectation is detail focus, fast turnaround, and projects closed out cleanly.

Handle multiple car related issues. Handle working with contractors, medical providers, appointments, vendors, etc. Great opportunity to learn about the fashion business, finance, managing large projects, how to do research. We will guide you on how to accomplish each task in the beginning but expect the person to learn quickly. This position has good compensation for qualified candidate. The assistant will be expected to execute various research projects carefully with no mistakes, no mistakes, speed and focus. This is a position that requires heavy research on the internet, can be persistent to get an answer and figure it out on their own.
