Job Description
Description We are looking for an organized and personable Office Manager to support daily operations at a behavioral health practice. This contract-to-permanent opportunity is ideal for someone who enjoys creating a welcoming patient experience while keeping front-office activities accurate and efficient. The role combines administrative coordination, patient scheduling, and financial record handling in a clinical setting with onsite providers.
Responsibilities:
- Welcome patients upon arrival, manage the check-in process, and help maintain a welcoming and supportive front-desk experience.
- Respond to incoming phone calls, address routine inquiries, and arrange appointments based on provider availability.
- Enter and update patient and office information accurately to keep records current and organized.
- Collect copayments at the time of visit and record each transaction in accordance with office procedures.
- Oversee general administrative support tasks that help the office run smoothly from day to day.
- Monitor supply levels, place orders as needed, and ensure essential office materials remain available.
- Assist with accounts payable activities, including organizing invoices and supporting timely processing.
- Use Microsoft Office and Outlook to manage communication, scheduling, and routine documentation. Requirements
- At least 1 year of experience in an office management, administrative support, or front-desk position.
- Ability to handle patient interactions with professionalism, discretion, and a service-oriented approach.
- Experience scheduling appointments, answering multi-line phones, and managing reception activities.
- Strong data entry skills with close attention to accuracy and detail.
- Familiarity with collecting and logging payments in an office environment.
- Working knowledge of Microsoft Office and Outlook for daily administrative tasks.
- Experience maintaining office supplies and supporting basic accounts payable processes.
