Competitive pay based on experience About New Ara Home Improvement New Ara Home Improvement is an established, locally owned roofing and exterior-remodeling company serving Northeast Ohio. With 18 years in business and an A+ BBB rating, we specialize in roofing, siding, windows, gutters, storm restoration, and insurance-related projects. We are looking for a dependable, organized, and motivated Office & Production Manager who takes ownership of their responsibilities and helps keep our customers, sales team, installers, and projects moving efficiently. Position Summary The Office & Production Manager will oversee daily office operations and help coordinate projects from the signed contract through completion and final payment. This person will communicate with customers, sales representatives, suppliers, installers, subcontractors, and insurance companies. The ideal candidate is an excellent communicator who can manage multiple projects, solve problems, meet deadlines, and stay organized in a fast-paced construction environment. Primary Responsibilities
  • Answer phones, respond to emails, and provide professional customer service
  • Maintain customer files, contracts, insurance documents, invoices, and project records
  • Schedule roofing, siding, window, gutter, and repair projects
  • Check weather conditions and coordinate installation dates
  • Communicate project schedules and updates to customers
  • Coordinate subcontractors, crews, suppliers, and material deliveries
  • Order materials, dumpsters, permits, and other project-related services
  • Review contracts and scopes of work before projects begin
  • Verify that materials, colors, measurements, and project details are correct
  • Track projects from scheduling through completion and final payment
  • Help prepare invoices, completion certificates, supplements, and payment requests
  • Communicate with insurance adjusters regarding documentation and project status
  • Organize photographs, code-upgrade documentation, receipts, and job records
  • Track customer payments, outstanding balances, and recoverable depreciation
  • Assist with payroll, subcontractor payments, and basic bookkeeping
  • Schedule inspections and follow up on permits when required
  • Handle customer concerns professionally and work toward timely resolutions
  • Support the sales team with paperwork, scheduling, and project information
  • Complete daily follow-ups and keep management informed of urgent matters
  • Help improve office procedures and production systems as the company grows Qualifications
  • Previous office-management, construction, roofing, restoration, or project-coordination experience preferred
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Professional and confident when communicating with customers
  • Comfortable managing several projects and deadlines simultaneously
  • Working knowledge of email, spreadsheets, document management, and office software
  • Experience with QuickBooks or similar accounting software is preferred
  • Insurance-restoration or claims-documentation experience is a major advantage
  • Ability to read contracts, estimates, invoices, and insurance scopes of work
  • Dependable, detail-oriented, accountable, and able to work independently
  • Willingness to learn roofing and exterior-remodeling terminology and processes
