Supervisory Responsibilities:
Job Summary We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This role serves as the main point of contact between the office and vendors, oversees building maintenance, and provides administrative assistance to attorneys and the executive director. The ideal candidate will possess strong multitasking abilities, excellent communication skills, and a proactive attitude.
Administrative Duties:
Oversee day-to-day operations of the office, Act as the firm's primary contact with vendors and building tenants, process invoices, and ensure timely payments, Maintain an organized filing system for invoices and company documents, Complete administrative tasks such as filing paperwork and updating employee records, Schedule maintenance visits as needed, Manage supplies inventory, order office essentials, and ensure the workspace remains clean and organized Assist attorneys and the executive director with scheduling and travel arrangements, Plan, coordinate, and attend firm events as needed, Oversee daily operations of the information technology (IT) system.
Human Resources Duties:
Track staff hours and requests for time off, Submit bi-weekly payroll reports, Assist with the onboarding process for new hires and assist with training, Help administer health insurance and other benefits and communicate with insurance liaisons, Document violations of firm policy and execute disciplinary actions at management's direction, Perform other related duties as assigned.
Required Skills and Abilities:
Proficiency in Microsoft Office Suite (Word, Excel) Computer literacy with the ability to adapt to new software tools quickly Strong multitasking abilities with effective time management skills to prioritize tasks efficiently Strict adherence to policies regarding the confidentiality of firm and client information.
Education and Experience:
Bachelor's degree in Human Resources, Business Administration, or related field preferred. Proven experience in office management or administrative roles with strong organizational skills
