Job Description

Anderson Heating, Cooling, Plumbing & Electrical is seeking a highly organized, customer-focused Office Administrator to support our sales and operations teams. Position Overview The Office Administrator works closely with the department teams, and leadership staff to coordinate appointments, process paperwork, schedule jobs, support office operations, and ensure an exceptional customer experience from first contact through project completion. This role is essential to keeping daily operations organized, efficient, and customer-focused. A Typical Day Looks Like Assist customers with scheduling, questions, and general service needs Schedule and confirm service calls, maintenance visits, sales appointments, and installation jobs Coordinate daily technician and installer schedules with dispatch and management Process customer invoices, payments, financing paperwork, and receipts Enter and update customer information, job notes, and statuses in company software systems Prepare installation packets, permits, rebate forms, warranties, and closeout documents Order office supplies and help maintain inventory of forms and materials Manage incoming and outgoing mail, email communication, and office correspondence Assist with filing, scanning, document organization, and record retention Follow up with customers regarding appointments, satisfaction, and outstanding paperwork Support accounting with basic data entry, billing, and collections follow-up Communicate with vendors, subcontractors, utilities, and inspectors as needed Maintain a clean, organized, and professional office environment Assist leadership team with reports, projects, and additional administrative duties as assigned What It Takes High school diploma or GED 2+ years of customer service, scheduling, administrative, dispatch, or office support experience Strong communication skills by phone, email, and in person Excellent organizational skills with strong attention to detail Intermediate Microsoft Office skills, including Outlook and Excel Ability to multitask and prioritize in a fast-paced environment Positive attitude, professionalism, and team-first mindset Ability to learn new systems and processes quickly Preferred Qualifications Experience in HVAC, plumbing, electrical, or home services industries Prior experience with ServiceTitan or similar CRM/dispatch software Associate degree or higher in business, communications, or related field Previous office coordination or administrative experience Why Anderson?
