Job Description
Role:
The Office Manager plays a pivotal role in ensuring the smooth and efficient operation of the office environment. This position is responsible for overseeing daily administrative functions, managing office resources, and supporting staff to maintain productivity and organization. The Office Manager will coordinate accounts payable and bookkeeping activities, ensuring financial records are accurate and up to date. Additionally, they will manage appointment scheduling and records management to facilitate seamless communication and workflow within the organization. Ultimately, this role is essential for creating a well-structured office atmosphere that supports the company's overall goals and enhances employee performance.Minimum Qualifications:
Proven experience in office management or a related administrative role. Proficiency in bookkeeping and accounts payable processes. Experience using QuickBooks or similar accounting software. Strong organizational and multitasking skills. Excellent communication skills, both written and verbal.Preferred Qualifications:
Associate's or Bachelor's degree in Business Administration, Accounting, or a related field. Experience with advanced office administration software and tools. Familiarity with records management best practices and compliance standards. Prior experience managing appointment schedules for multiple team members. Knowledge of general office IT systems and troubleshooting.Responsibilities:
Oversee and manage daily office operations to ensure efficiency and organization. Handle accounts payable processes, including invoice processing and vendor payments. Maintain accurate bookkeeping records using QuickBooks and other accounting tools. Coordinate appointment scheduling and manage calendars for staff and management. Organize and maintain physical and digital records to ensure easy retrieval and compliance. Support general office duties such as ordering supplies, managing office equipment, and liaising with service providers. Assist in preparing reports and documentation related to office administration and financial activities. Serve as the primary point of contact for internal and external communications related to office management.Skills:
