Job Description

Job Summary:
Grace Lutheran Church is seeking a warm, welcoming person to staff the church office and coordinate church communications, with special attention to basic graphic design, social media, and online engagement. Areas of Responsibility:
Communicating/Teamwork:
Serves as the welcoming face and voice of Grace to all who enter the building or call the office Screens phone calls and emails, and responds to inquiries and requests Communicates messages to appropriate personnel efficiently and effectively Work collaboratively with other staff members and maintain a teamwork mentality
Organizational:
Maintains church calendar and coordinates the schedule for groups, events, and meetings in the building Coordinates the rental use of church facilities, including rental agreements and applicable rental fees or donations Maintains records of weddings, baptisms, and funerals of members and non-members, prepares official certificates for such events as needed; coordinates space preparation needs for such event to appropriate personnel Records weekly worship attendance in church database and spreadsheet Submits and files appropriate paperwork to the synod and churchwide organization Tracks visitor information and coordinates follow up correspondence and pastoral contact Schedules lay volunteers for weekly worship and holidays, and maintains church sign up sheets Maintains filing system for all church-related business (congregation, council, programs, spiritual care) and generates data from the files as needed Creates the annual congregational and parochial reports, distributes to the congregation, and files with the synod Orders office, kitchen, worship, and other supplies as needed to support the ministries of the church Maintains an organized, professional, and presentable administrative office environment
Knowledge/Technical:
Coordinates weekly church email blasts and other email correspondence Monitors the office email account and correspondence Coordinates congregational mailings as needed Creates the monthly church newsletter and distributes digital and hard copies Maintains up-to-date electronic records of church membership, worship attendance, mailing lists (snail mail and email), contact information, etc. Updates the church website as needed Creates posts, flyers, and content for announcements, social media, community news, and online engagement Monitors social media platforms Help to establish Livestreaming capabilities for weekly worship Prepares and prints weekly worship materials and announcements Prepares and prints seasonal, festival, and holiday bulletins Prepares and prints funeral, wedding, and other special worship bulletins as needed Prepares other documents, flyers, or pamphlets (digital and hard copy) for the pastor, church staff, and ministries of the church
Job Skills and Requirements:
Possess excellent verbal, written, and phone communication skills Highly effective people skills Ability to multitask and be flexible Proficiency in computer skills, social media use, and use of programs such as Microsoft Word, Excel, and Canva (or equivalent) for basic graphic design Highly organized, self-motivated, and works well independently Willingness to learn Positive attitude and appropriate respect for privacy, boundaries, and matters of confidentiality Attendance at staff meetings is expected High school diploma Must pass a background check
Position Status:
20-24 hours per week, 4 days a week (Monday-Thursday, 9am-2pm office hours) 2-4 weeks unpaid vacation annually No other benefits $20-25 per hour, negotiable based on experience
Evaluation:
The Office Communications Administrator works directly under the supervision of the pastor(s) and Congregation Council The Office Communications Administrator receives an annual performance review Position compensation is reviewed annually Upon hiring, a 90 day probationary period will be in effect
Pay:
$20.00 - $25.00 per hour
