Job Overview We are seeking a dynamic and highly organized Body Shop Office Manager to lead the administrative operations of our busy local family-owned auto body repair facility. This pivotal role combines office management, team supervision, vendor coordination, and financial oversight to ensure seamless daily operations. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional communication skills, and possess a passion for delivering outstanding customer service. As the central hub of our body shop's administrative functions, you will play a vital role in maintaining efficiency, accuracy, and professionalism across all facets of the office. Duties Oversee daily office operations, including scheduling appointments, managing multi-line phone systems, and handling client inquiries with professionalism and courtesy. Supervise administrative staff, providing training and development opportunities to foster a motivated and efficient team. Manage vendor relationships to ensure timely procurement of supplies, equipment, and services essential for shop operations. Utilize accounting software such as QuickBooks to handle bookkeeping, payroll processing, budgeting, and financial recordkeeping with precision. Maintain confidential information with integrity while ensuring compliance with company policies and legal standards. Coordinate event planning for staff meetings or community outreach initiatives that enhance shop visibility and team cohesion. Organize filing systems, manage calendar schedules for appointments and deadlines, and ensure all documentation is accurate and up-to-date. Skilled in either body work or paint to assist on the floor. Skills Proven experience in office management within an automotive or medical office environment; strong background in administrative support is essential. Demonstrated supervising experience with the ability to lead teams effectively while fostering a positive work atmosphere. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with advanced spreadsheet skills for data analysis and reporting. Skilled in vendor management, contract negotiations, and maintaining professional relationships to optimize operational efficiency. Strong understanding of accounting principles, bookkeeping practices, and financial software such as QuickBooks or similar platforms. Excellent communication skills—both verbal and written—with a focus on client communication and phone etiquette. Exceptional organizational skills with the ability to manage schedules efficiently while handling multiple priorities simultaneously. Experience in human resources functions including training & development, payroll processing, and handling confidential employee information.
