Job Description
Overview We are seeking a dynamic and highly organized Office Manager to lead the day-to-day operations of our busy office environment. This vital role ensures smooth administrative functions, maintains a welcoming front desk presence, and supports overall office efficiency. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating a positive workplace experience. As an Office Manager, you will be the backbone of our office operations, fostering a productive and professional atmosphere for staff and visitors alike. Salary will be based on qualifications and experience. Duties Oversee daily office operations, ensuring all administrative tasks are completed efficiently and accurately Manage front desk responsibilities, including greeting visitors, answering phones, and providing excellent customer service Handle calendar management and scheduling for staff and executive meetings with precision and attention to detail Maintain organized filing systems, perform data entry, and ensure all records are up-to-date and easily accessible Utilize office management software such as Microsoft Office and ProCore. Support bookkeeping tasks, including invoicing, expense tracking, and basic financial recordkeeping using construction accounting software A-Systems Job View. Coordinate office supplies procurement, inventory management, and equipment maintenance to keep the office running smoothly Skills Proven experience in office management or administrative roles with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry tools Strong organizational skills with the ability to multitask effectively in a fast-paced environment Experience with A-Systems JobView or similar bookkeeping software is preferred Ability to proofread documents accurately and maintain high attention to detail Strong time management skills to prioritize tasks efficiently while maintaining professionalism at all times
