OFFICE ADMINISTRATOR AND DIRECTOR OF FIRST IMPRESSIONS
Keller Williams Realty Summit | Oklahoma | Full-Time | Mon-Fri We are not hiring a receptionist. We are hiring the soul of our office. At Keller Williams Realty Summit, the person in this role is the first face agents see in the morning, the first voice clients hear on the phone, and the reason people walk away feeling like they are in exactly the right place. You keep things running, you bring the energy, and you take real pride in doing all of it well. WHAT YOU WILL DO
  • Greet every agent, client, and visitor with genuine warmth and consistent professionalism
  • Answer and route calls in a way that makes callers feel like they reached exactly the right place
  • Capture and post content that showcases office culture, events, and agent wins across social media platforms
  • Process incoming checks, maintain accurate financial records, and support the MCA with day-to-day accounting tasks
  • Send agent communications and blast emails, and manage incoming and outgoing mail and deliveries
  • Maintain the appearance of the front desk and common areas so the office always reflects the brand we are proud of
  • Coordinate and execute office events from start to finish — logistics, communication, setup, and follow-through
  • Assist leadership with projects, reports, and operational tasks that keep the market center running at its best
  • Help share the KW Summit value story with new agents, guests, and prospective recruits
WHO YOU ARE
You are naturally positive, reliable, detail-oriented, and a self-starter. You are comfortable with people all day long and do not need someone looking over your shoulder to do great work. You handle sensitive information with discretion, keep a cool head when things get busy, and bring your best every single day. You do not just show up — you show out.
WHAT WE ARE LOOKING FOR
  • Prior customer-facing or administrative experience
  • Comfortable with Google Suite, Microsoft Office and AI
  • Experience with Instagram, Facebook, and Canva for professional brand use
  • Ability to process checks and maintain financial records accurately and confidentially
  • Strong written and verbal communication skills — warm, clear, and professional in every interaction
  • Composure and focus in a fast-moving environment
  • Strong desire for learning
