Full Job Description Desert Sky Montessori Office Manager Job Description Title :
Office Manager Direct supervisor: Head of School Job purpose : The Office Manager is the key link between the school and the community and is responsible for ensuring that this link is positive and supportive. The Office Manager plays an important role in the school's short and long-term success.
Qualifications:
The ideal candidate will enjoy working with a diverse array of people while being an expert in a variety of administrative tasks. They should feel enthusiastic about contributing to an environment that fosters community, communication, and educational excellence. They will be friendly, flexible, and task oriented as they seek to aid in the daily administrative processes necessary for a smoothly functioning school. Previous experience in a school administrative setting is preferred, though excellent candidates without this experience will be considered.
Minimum Educational Requirements:
Possesses an associate degree in a related field or equivalent experience. Must have a High School Degree or GED or equivalent. Have or be willing to receive some Montessori training
Work Hours:
School Year (End of August through June) Monday to Friday on all school days: hours are 7:30 AM to 12:30
PM Skills:
Should have a minimum of two years of experience, preferably in a school, nonprofit or public agency setting. Be proficient in basic office computer skills, including but not limited to Microsoft word, Excel, Google Docs. Experience with Synergy and/or Transparent Classroom is preferred. Demonstrates the capacity for independent work, flexibility, and the capacity to handle multiple demands. Have the ability to conform to an established work schedule. Have effective interpersonal skills. Have the ability to communicate in a concise and effective manner. Have the ability to understand and follow instructions precisely. Have the ability to exercise tact, discretion and confidentiality.
Key responsibilities and accountabilities:
General Operations:
Performs office reception functions, including answering phones, greeting visitors, and answering questions. Tracks and records attendance. Follows up with parental communication as necessary. Performs administrative duties, including photocopying, maintaining student files and records. Assists with school meetings and event planning, scheduling, and preparation.
Daily Functions:
Supports files and systems necessary for school operations and safety. These may include but are not limited to school maintenance, school safety, and student academic and health records. Assists with annual school immunization reporting. Creates new enrollment packets and onboards new families into school systems. Keeps an inventory and maintains the storage of supplies as needed. Distributes mail and packages to appropriate staff members. Helps with children's arrival and dismissal process using
PIKMYKID.
Updates the school calendar with events, parent/staff reminders, all-school notifications, and other important information. Has knowledge of basic first aid procedures, CPR training, and assists the children as needed. Comfortable and experienced with providing emotional support to children as needed. Communicates with Head of School, other members of the Administrative Team, Lead Guides, Assistant Teachers, and the SPED team to ensure the child's health, well-being and best interests. To attend and participate in staff meetings, school events and training opportunities. To work with other staff to maintain professional relationships of support and respect. Has a professional and empathetic approach. Maintains confidentiality and understands, appreciates, and is sensitive to nature of this work with children. Possesses a healthy sense of humor. Other duties assigned by the Head of School.
Physical Requirements:
Must have the ability to: Lift up to 40 lbs. Repetitive bending, stretching, and stooping. Have mobility required to work with and ensure the safety of children.
