What You'll Do:
As the Office Manager, you'll be the organizational hub of the shop — supporting the service team, handling administrative operations, and keeping the business running efficiently. You'll interact with customers, vendors, technicians, and leadership to ensure everything stays on track.
Primary Responsibilities:
Manage front-office operations and customer communication Handle invoicing, billing, AP/AR, and financial organization Utilize QuickBooks Desktop & Online for accounting tasks Create work orders, track service jobs, and support scheduling Maintain accurate records, documentation, and data entry Order supplies, manage inventory, and coordinate vendors Answer phones, greet visitors, and support daily workflow needs Assist leadership with administrative tasks and project coordination Ensure smooth communication between customers, technicians, and management
What You'll Bring:
Required Qualifications:
Experience in office management, administrative support, or bookkeeping Strong working knowledge of QuickBooks Desktop & Online Understanding of invoicing, billing, and basic accounting functions Excellent communication & customer service skills Strong organization, problem-solving, and multitasking abilities Ability to work onsite Monday-Friday in Clackamas, OR Preferred (Not Required): Experience in automotive, diesel, trucking, field service, or repair industries Background with work orders, service scheduling, or vendor management
