The job of Human Resources Office Manager provides clerical and administrative support to the Executive Director; communicates information to staff, public, and other districts; establishes and maintains personnel records and assists in expediting and coordinating the workload to assure the smooth and efficient operation of the Human Resources Department.MINIMUM QUALIFICATIONS
Education, Training, Experience, Licensure and Certification Associate of Arts degree or higher Human Resources certification or credential; or five years job experience as a administrative assistant; or graduation from a recognized school of administrative assistant skills and two years job experience; or five years of successful employment as a school head secretary or office manager Criminal Justice Fingerprint Clearance Current First Aid/CPR CardSKILLS & KNOWLEDGE OF
Modern office practices, procedures, rules and regulations related to assigned functions Filing systems, business forms, letters and report writing English usage in both written and verbal form; use of correct spelling, grammar and punctuation and proofreading Basic budgeting, financial and statistical record keeping Standard office equipment Advanced computer skills with proficiency in data base, spreadsheet and word processingESSENTIAL JOB FUNCTIONS
Serve as confidential secretary to the Executive Director of Human Resources Schedule meetings and appointments for the Executive Director In conjunction with the Executive Director, maintain the Google calendar Provide support for the director in all Initiative Team directives Generate correspondence, reports and memoranda for the Executive Director Assist in gathering, compiling and photocopying collective bargaining data for contract negotiations, be available as needed by the director to take notes, or attend meetings Take notes for discipline and reclassification meetings Coordination of Education Fairs (registration, administrator sign-ups, creating the Ed Fair GBSD flyer, materials needed, and processing resumes) Assist the Director with the New Teacher Orientation, prepare materials as needed Run evaluation reports, track evaluation due dates, distribute employee evaluation information to school administrators, check incoming classified evaluations and enter information licensed information into Professional Growth, prepare classified evaluations for filing in personnel files, and set-up evaluation schedule for new employees Serve as the key contact with the business office for inter-office work flow Assist the Executive Director with day to day operations of the HR department Assist the Executive Director in assessing department effectiveness by exploring efficiencies and improvements Serve as the lead in department document control & procedure writing Assist the Executive Director with the supervision and evaluation of department confidential staff Maintain GBSD website, Infinite Visions (IV), Recruiting and Hiring Application System, and Google Calendar Maintain the job descriptions of all personnel in coordination with the Executive Director Generate necessary purchase orders and maintain accounting for HR department budgets and expenditures Scan and organize pertinent personnel related data as needed and put into usable form Assist in maintaining confidential personnel files Answer questions and provide assistance to applicants, employees, and patrons Oversee and receive student teacher placement requests Perform all duties associated with end-of-year employee recognitions and retirements Maintain Absence Management System Continually update and post federal and state mandatory posters on the GBSD website and inform head secretaries of updates Perform other duties as required Reports directly to the Executive Director of Human ResourcesPHYSICAL REQUIREMENTS
Ability to: sit, stand or walk for prolonged periods of time talk and hear conversations in a potentially noisy environment use precise control of fingers and hand movement, often in a repetitive motion such as keyboarding reach for and handle objects use close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus Regularly focus on a computer screen Bending, stooping, kneeling and lifting and/or moving up to 50 pounds may also be required on occasionWORKPLACE EXPECTATIONS

The cost is $71.50 and is the responsibility of the employee. This employment is considered probationary pending return of the criminal records check from the FBI and Oregon State Police through the Oregon Department of Education.
