Position Summary The Office Manager / Real Estate Administrator is responsible for overseeing daily office operations, managing real estate transactions from contract to close, supporting agents, coordinating vendors, maintaining office systems, and delivering exceptional client service. This role plays a key part in keeping the team organized, productive, and growing. ResponsibilitiesTransaction Coordination Manage residential real estate transactions from contract to closing. Prepare, review, and maintain transaction files for accuracy and compliance. Track deadlines, contingencies, inspections, appraisals, financing, and closing dates. Coordinate with clients, agents, escrow officers, lenders, and title companies. Ensure all required documentation is completed and submitted on time. Administrative Operations Manage daily office operations and administrative functions. Maintain digital and physical filing systems. Organize calendars, meetings, appointments, and team schedules. Answer phones, respond to emails, and provide professional client support. Order office supplies and maintain office equipment. Develop and improve office procedures and systems. Assist with bookkeeping, invoice processing, expense tracking, and vendor payments as needed. Maintain databases, CRM systems, and client records. Prepare reports, spreadsheets, and presentations. Client Experience Serve as the primary point of contact for clients throughout the transaction. Deliver exceptional customer service through consistent communication. Coordinate client gifts, appreciation events, and follow-up activities. Handle questions and resolve issues promptly and professionally. Vendor & Marketing Coordination Build and maintain relationships with preferred vendors. Coordinate photographers, inspectors, contractors, stagers, and other service providers. Assist with marketing materials, social media coordination, and listing support. Plan and coordinate client appreciation events, community events, and team activities. Team Support & Leadership Train and coach new team members on office systems and processes. Assist with recruiting, interviewing, onboarding, and training new employees. Create and maintain Standard Operating Procedures (SOPs). Identify opportunities to improve workflows and increase efficiency. Take on additional leadership responsibilities as the team grows.
