In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. BQE software and bookkeeping experience is a must. Your energetic approach and attention to detail will help foster a productive environment, support team members, and enhance overall office functionality. This position offers an exciting opportunity for someone with strong administrative skills, excellent communication abilities, and a passion for creating a welcoming workplace. You will be responsible for managing administrative tasks, coordinating schedules, supporting client communication, and maintaining office systems—all while embodying a proactive and positive attitude. Responsibilities Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy BQE bookkeeping and data management Oversee calendar management, scheduling meetings, appointments, and coordinating events efficiently Maintain accurate records through data entry, spreadsheets, and word processing using productivity software such as Microsoft Office and QuickBooks Handle clerical duties including proofreading documents, preparing reports, and managing correspondence with clients and vendors Support office management tasks such as ordering supplies, organizing files, and maintaining office equipment Provide exceptional customer service by assisting clients in person or via phone with professionalism and clear communication Assist with personal assistant responsibilities like travel arrangements or special project support as needed Experience Proven office experience with strong organizational skills and technical proficiency in Microsoft Office Suite (BQE, TEAMS, Word, Excel, Outlook) Familiarity with QuickBooks or other accounting software is highly desirable Experience handling multi-line phone systems and providing excellent phone etiquette Bilingual abilities are a plus to effectively communicate with diverse clients and team members Demonstrated clerical experience including data entry, proofreading, document preparation, and calendar management Prior customer service or front desk experience that highlights strong interpersonal skills and professionalism Ability to manage multiple tasks efficiently while maintaining attention to detail in a fast-paced environment Join us to be part of a vibrant team where your organizational talents will shine!
