Job Description
Essential Function Highly visible, full-time position is responsible for managing the office and administrative functions of the Association and maintenance personnel of Anthony Wayne Terrace (AWT). This position coordinates requests for repairs and maintenance and manages tenant relations. Additionally, this position is responsible for maintaining and enhancing the value of the units and grounds for the benefit and safety of the tenants and the community. Duties Demonstrates a positive & professional attitude with coworkers, tenants, and the public. Partner with and take direction from the Board of Directors. Keep the office and workspace organized and clean. Along with Finance Manager, develop and maintain operating budgets and finances; provide information regarding financial reporting at monthly board meetings and as requested. Bi-weekly payroll; collect and verify time sheets from maintenance and office staff; prepare and distribute paychecks, mange pension program for all eligible staff adhering to local, state, and federal reporting guidelines. Bookkeeping duties including but not limited to: accounts payable/receivables, ensuring that all payables are paid in a timely manner; process receipts, takes deposits to the bank and bookkeeper. Responsible for ensuring that the part-time administrative staff has work to do and is using the time in the office effectively. Coordinate collection and documentation of all association fee payments and lease obligations of members according to AWT by-laws. Collect delinquencies promptly. Maintain filing systems for documents, records, and correspondence. Ensure office supplies are stocked and equipment is maintained in optimal condition. Provide excellent communication via phone etiquette and professional interaction with shareholders, board members, and staff. Work with membership to coordinate all activities related to membership, units, safety and grounds; coordinate to schedule and carry out inspecting apartments of all vacating members; alert membership within 48 hours after receiving a notice to vacate. Sets up appointments for showing units, assist clients in completing and processing applications, conduct credit checks and verifications, accepts down payments, complete leases and collects all necessary documentations. Accepts complaints from tenants, provides appropriate forms and explains process to tenants. Make regular and monthly inspection of the grounds to ensure that members are abiding by all the ground rules and regulations; provide results & report each month to the Board; make recommendations to the Board in order to enforce these rules. Attend and participate in monthly board of directors meetings and any other meetings, including after normal business hours, as needed Dispatches maintenance staff according to priority; set up, coordinate, and communicate calendar for daily, weekly and seasonal work to maintenance crew; responsible for ensuring that maintenance crew completes work logs daily; ensures maintenance crew is properly handling snow and ice removal , landscaping, and grounds keeping. Requirements Proven experience in office management or administrative roles with strong organizational skills. Supervising experience in an office or team environment. Strong vendor management skills. Experience with bookkeeping, budgeting, filing, and clerical tasks in an office setting Excellent communication skills with professional phone etiquette. Ability to multitask efficiently while maintaining attention to detail. Prior experience managing housing/apartment offices or related environment is a plus. Demonstrated leadership skills with a focus on team management Must exercise good judgement and be assertive at all times. Able to confront problems and/or members and employees in a highly professional, calm, effective way. Must be flexible and willing to adopt change in a positive way. Must be able to use various computer software, including property management software-AppFolio, office machines, and email. Positive, innovative approach to problem solving. Presents ideas in a clear, concise, understandable , and organized manner; negotiate, persuade, and modify opinion in order to reach the goals/objectives of AWT. Ability to work independently as a project leader and as a team member. Ability to relate well with others even while working at a distance without the benefit of personal contact.
