Description Job Summary The Office Administrator shall: Maintain and organize main office area.
Order and maintain office supplies and equipment.
Screen and route all incoming calls, forwarding messages in a timely manner.
Sort and process all mail and correspondence. Answer email, postal mail correspondence (writing letters), phone calls, etc.
Prepare, proof, print, and disburse weekly bulletins and other publications, in coordination with other staff and volunteers.
Maintain and organize membership records (new members, baptisms, weddings, deaths, etc.) and sacramental certificates (baptism, membership, marriage, etc.). This includes electronically through the church data management program. Q
Maintain and organize church calendars and Communications Planner in coordination with the church staff.
Assist ministry teams as needed with office tasks.
Prepare Annual Reports as needed.
Maintain and update standard forms, ministry literature, routine paperwork, and databases.
Organize the filing systems and meeting minutes, both electronic and paper files.
Be aware of special needs of members and notify pastoral staff of hospitalizations, deaths, etc.
Coordinate with a volunteer to ensure the outside church sign is updated regularly.
Perform a daily walkthrough of the building.
Ensure items at the Welcome Center are up to date; prepare forms and signage as needed, in coordination with the Program Ministries Director.
Coordinate building usage applications by outside organizations.
Create, maintain, and manage a system for ordering janitorial and other stockroom supplies to ensure adequate inventory.
Work with the pastor to complete tasks relating to the administrative aspect of ministry.
Keep the office open during established office hours. Currently those are Monday through Thursday, 9:00 am to 1:00 pm.
Attend Administrative Board meetings and record minutes. If unable to attend, coordinate a recorder to take minutes. Generally one Monday evening per month.
Participate in Council on Ministries (COM) meetings. Generally one Monday evening per month.
Participate in staff meetings monthly and as needed. Generally Wednesday mornings during office hours.
