Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily office operations, ensuring a smooth and efficient environment. Your energetic approach and attention to detail will help facilitate seamless communication, manage administrative tasks, and support our team's productivity. Duties Manage front desk operations, greeting visitors and directing phone calls with professionalism and courtesy using multi-line phone systems. Oversee calendar management, scheduling appointments, meetings, and ensuring timely reminders for staff. Handle data entry tasks accurately using spreadsheets, word processing, and productivity software such as Microsoft Office and QuickBooks. Maintain organized filing systems, both digital and physical, to ensure quick retrieval of documents and records. Provide exceptional customer service by responding promptly to inquiries via phone or email, supporting client communication efforts. Assist with office supply inventory management, ordering supplies as needed to keep the workspace fully stocked. Support administrative projects including proofreading documents, managing correspondence, and coordinating internal communications. AP & AR tasks billing, invoicing, basic finance and bookkeeping tasks payroll support process and system management support Requirements Proven experience in office management or administrative roles with strong clerical skills. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software. Experience using QuickBooks or similar accounting software is preferred. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Exceptional phone etiquette and customer service skills, including experience managing multi-line phone systems. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. Demonstrated ability to handle data entry accurately and perform proofreading tasks meticulously. Prior experience in front desk or personal assistant roles is advantageous. Ability to manage time effectively while prioritizing tasks to meet deadlines. Pay:
$15.00 - $18.00 per hour
