Job Summary We are seeking a dynamic and highly organized Small Business Office Administrator to join our team! Responsibilities Manage daily office operations, including filing, record keeping, and handling confidential information with professionalism and discretion Coordinate scheduling for meetings, appointments, and events to optimize team productivity Oversee vendor management by sourcing suppliers, negotiating contracts, and maintaining positive relationships Supervise administrative staff or interns, providing training and ongoing development opportunities Handle accounts payable and receivable using accounting software QuickBooks Prepare budgets, track expenses, and perform bookkeeping duties to ensure financial accuracy and accountability Utilize Microsoft Office Suite (Word, Excel, Outlook) to create reports, spreadsheets, and presentations that support business operations Maintain organized filing systems both digitally and physically to ensure quick access to essential documents Support event planning activities for company meetings or community outreach initiatives Manage multi-line phone systems with professional phone etiquette while directing calls efficiently Assist with client communication efforts to enhance customer service experience Qualifications Proven experience in office administration or related roles within a small business environment Strong proficiency in Microsoft Office applications, spreadsheets, and office management software such as QuickBooks or similar accounting tools Demonstrated supervisory or team management experience with the ability to motivate staff effectively Excellent organizational skills with keen attention to detail in handling clerical tasks and filing systems Effective communication skills for client interactions, vendor negotiations, and team collaboration Knowledge of bookkeeping, budgeting, payroll processing, and basic accounting principles Experience with event planning and managing schedules efficiently Ability to handle confidential information discreetly while maintaining professionalism at all times Technical proficiency in office equipment including multi-line phones and digital communication tools Prior experience in human resources functions such as onboarding or training preferred but not required Join us as a Small Business Office Administrator if you're ready to energize our team with your organizational expertise!
