Job Description

A progressive and growing non-profit agency with competitive salaries and excellent benefits, is accepting applications for a full-time Office Manager needed to answer phones, greet the public, and oversee general office operations and support staff. Successful candidate will be able to handle multiple tasks, be dependable, organized, and detail-oriented. Computer skills in Microsoft Office products are a must, as well as excellent communication and interpersonal skills. Specific duties Include, but not limited to: Serve as the primary contact for the CAO by answering forwarded phone calls, greeting callers and visitors courteously, and routing communications appropriately. Oversee and support administrative assistants to ensure efficient workflow and task completion. Maintain and update organizational records, including employee phone lists, supervisor/coach assignments, and document filing systems. Manage office supplies, including ordering logoed stationery, business cards, and other materials; track usage to maintain adequate inventory. Coordinate office maintenance by notifying appropriate vendors for repairs and addressing facility-related needs. Ensure timely processing of CAO-approved documents, including retirement forms and other confidential materials, following organizational policies on privacy and data protection. Perform routine office duties, including filing, scanning documents, handling incoming and outgoing mail, and maintaining logs and records. Execute data entry tasks, update spreadsheets, and keep digital records current. Coordinate special projects and seasonal tasks, such as distributing Christmas and sympathy cards. Support office orderliness by organizing workspaces, picking up mail and newspapers, and tending to office plants. Other duties as assigned. EOE
