This vital role ensures smooth administrative workflows, exceptional customer service, and effective management of office resources. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive workplace. As the backbone of our administrative team, you will coordinate multiple functions to support our team's success and maintain a welcoming atmosphere for clients and visitors alike. Duties Oversee daily office operations, including managing front desk activities and ensuring a professional reception area Handle multi-line phone systems with excellent phone etiquette, directing calls efficiently and professionally Maintain accurate records through data entry, filing, proofreading, and managing office documentation using Microsoft Office and Google Workspace tools Manage calendar scheduling, appointment setting, and coordinate meetings for staff and executives Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries to ensure financial accuracy Provide exceptional customer support by addressing inquiries promptly and professionally both in person and via phone or email Supervise clerical staff and delegate administrative tasks to ensure organizational efficiency Maintain office supplies inventory, order necessary materials, and oversee general office maintenance Assist with personal assistant duties when needed, including travel arrangements and personal scheduling for executives Uphold high standards of confidentiality and professionalism in all interactions Experience Proven experience in office management or administrative roles with a strong background in clerical work and customer service Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry systems Familiarity with QuickBooks or similar bookkeeping software is preferred Experience working in healthcare or dental/medical reception environments is a plus Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with the ability to multitask efficiently in a fast-paced setting Excellent communication skills with a focus on phone etiquette and customer support excellence Prior experience managing multi-line phone systems, calendar management, filing systems, and office supplies procurement

$20.00 - $22.00 per hour
