Description A reputable non-profit organization in Lancaster, PA is seeking a professional and efficient Office Manager to oversee daily office operations! The Office Manager plays a key role in maintaining a professional, efficient, and employee-focused workplace environment. This individual oversees daily office operations, serves as a central resource for staff and external partners, and ensures administrative systems, facilities, and workplace resources are functioning smoothly and effectively. Acting as the primary liaison between employees, building management, service providers, and organizational leadership, this position is responsible for coordinating office services, managing workplace access and equipment, supporting employee onboarding and transitions, and creating a welcoming and productive office experience for all stakeholders. Office Manager:

Office Operations & Workplace Management

Ensure the office environment remains organized, professional, secure, and fully operational.

Serve as the first point of contact for staff, guests, vendors, and business partners.

Manage front desk operations, incoming telephone calls, general inquiries, and shared communication channels.

Coordinate conference rooms, training spaces, common areas, and workplace resources to support daily business needs.

Oversee office supply inventory, ordering, distribution, mail processing, and delivery services.

Maintain office equipment and coordinate service for printers, telecommunications systems, postage equipment, and other workplace technology.

Manage relationships with external vendors and service providers, ensuring prompt resolution of maintenance and operational issues.

Partner with property management and facilities personnel to address building maintenance, security concerns, repairs, and workplace improvements.

Asset & Technology Coordination

Maintain a centralized inventory of company-issued technology and equipment, including laptops, mobile phones, tablets, peripherals, and related assets.

Track equipment assignments, locations, status, and replacement schedules.

Coordinate technology procurement, deployment, transfers, repairs, upgrades, returns, and recovery processes.

Support employee onboarding and offboarding by ensuring timely distribution and retrieval of company assets.

Investigate and escalate issues involving damaged, lost, missing, or stolen equipment while maintaining accurate documentation.

Conduct routine inventory audits and reconciliation activities to ensure asset accountability.

Access & Security Administration

Administer office and parking access credentials, including issuance, activation, replacement, deactivation, and recovery.

Maintain accurate records of employee access permissions and conduct periodic audits.

Partner with Human Resources and leadership to support access requirements related to new hires, transfers, and employee departures.

Coordinate with building management and security personnel regarding access-related incidents or credential concerns.

Administrative & Business Support

Manage company vehicle scheduling, maintenance records, fuel card administration, and toll account tracking.

Maintain organizational directories, contact databases, workplace procedures, and shared administrative resources.

Process vendor invoices and office-related expenses while assisting with budget tracking and cost control efforts.

Support departmental projects and provide administrative assistance to leadership and staff as required.

Assist with special projects and perform additional duties that support organizational operations and business objectives. Qualifications of the

Office Manager:

3+ years of office administrative experience

Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams

Ability to type 45+ words per minute

HS Diploma or equivalent required, degree preferred

Exceptional organizational and multitasking abilities with strong attention to detail

Bilingual proficiency in English and Spanish preferred
