Job Summary:
We are looking for an energetic, self-motivated, and highly organized Bilingual Site Administrator to join our fast-paced startup. In this multifaceted role, you will be responsible for managing daily administrative functions, facilitating communication, and ensuring that all operational aspects of the site run smoothly. This is an exciting opportunity to make a significant impact in a growing business, with a hands-on approach to support key business functions and streamline site operations.
Key Responsibilities:
Act as the primary point of contact for all administrative tasks on-site, including supporting the executive and management teams. Coordinate the handling of incoming and outgoing shipments. Oversee inventory tracking, ensuring that office materials, equipment, product inventory, finished goods, and shipping logistics are adequately managed, accounted for, and properly organized. Manage basic accounting tasks, including processing invoices, tracking expenses, and assisting with budget preparation. Handle incoming communications such as phone calls, emails, and office visitors, ensuring they are directed appropriately. Assist in the preparation of reports, presentations, and other documents as requested by management. Ensure compliance with company policies and legal regulations by maintaining accurate records. Implement and oversee internal communication protocols to ensure efficient workflow and information sharing among staff. Support HR and finance teams with administrative tasks related to payroll, benefits, and other employee needs. Assist in organizing events, meetings, and company-wide initiatives as required. Collaborate with various departments, ensuring smooth operations and supporting team needs. Monitor and maintain cleanliness and organization in the office space, ensuring it meets the standards of the startup culture.
Qualifications:
High School diploma or equivalent required; Associate's or Bachelor's degree preferred. 1-3 years of administrative experience, preferably in a fast-paced, startup, or entrepreneurial environment. Excellent organizational and multitasking skills with the ability to prioritize effectively in a dynamic environment. Strong communication skills, both written and verbal. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with common office software (Google Suite, project management tools, etc.). Experience with basic office equipment (printers, copiers, etc.) and a general comfort with technology. Ability to work independently and be a self-starter, with a proactive and problem-solving mindset. A strong sense of confidentiality and professionalism when handling sensitive company information. Comfortable working in a flexible, evolving work environment, with the ability to adapt quickly. Passion for startups and a willingness to contribute to the growth and success of the company.
Physical Requirements:
Ability to sit, stand, or walk for extended periods. Occasional lifting of office supplies and materials up to 25 lbs. Willingness to work in an open, collaborative, and sometimes fast-paced office setting.
