Job Description

Job Summary The Office Manager plays an integral role in our small contracting company, reporting directly to the President and is responsible for coordinating daily administrative and business operations to ensure the office runs efficiently and supports field operations. This position manages AR/AP, payroll preparation, customer invoicing, bill payments, vendor communications, permit and contract administration, office supplies, and general record keeping. The Office Manager also handles basic human resources and onboarding tasks, payroll preparation, benefits and PTO oversight, maintains confidential records, and supports ownership with reporting and special projects. The ideal candidate understands small business, is highly organized, detail-oriented, with human resources experience, proficient with accounting (Quickbooks) and office software (Google Workspace), and able to manage multiple priorities in a fast-paced construction environment to stay one step ahead of management. Pay is commensurate to experience and skills. Duties Manage permit and contract administration for all jobs Oversee fleet maintenance and leases, EZ pass account, and other vehicle/equipment administration Manage basic human resources administration including onboarding/off-boarding, E-verify, I9 verification and all required paperwork, benefits administration, payroll processing, 401(k) facilitation utilizing company app (Gusto) Manage company handbook and update as needed Create, maintain and update office records using cloud-based software (Google Workspace) Utilize QuickBooks for basic bookkeeping tasks such as invoicing, bill payment, and financial record keeping; facilitate job costing and produce management reports Maintain basic filing systems in an ever-increasing paperless office; transition paper files to digital in Google Drive and create organizational systems for all staff to follow Manage daily office operations including answering phones, processing mail, and handling basic banking tasks Handle front office responsibilities including greeting visitors and maintaining a tidy office area Assist in planning company and team building events Manage office supplies procurement Skills Excellent technical proficiency in Google Workspace for efficient task management and document storage/sharing Strong skills in document organization, calendar management, chat, and other productivity tools Strong organizational skills with the ability to multitask effectively in a fast-paced environment Knowledge of QuickBooks or similar accounting software for basic financial tasks. Exceptional customer service skills with professional phone etiquette and client communication expertise Demonstrated clerical experience including proofreading and document preparation. Strong time management skills to prioritize tasks efficiently while maintaining attention to detail Team player with a focus on individual accountability to achieve common goals Join us as our Office Manager to lead our team with energy and professionalism! Pay:
$27.00 - $32.00 per hour
