The Office Manager will be responsible for ensuring smooth and efficient daily operations of the practice. This includes managing front office staff, overseeing scheduling, billing, and ensuring exceptional patient experience. The ideal candidate has prior experience in a mental health or medical office, is detail oriented, and thrives in a dynamic environment. This role requires strong leadership skills and the ability to communicate effectively across various levels of the organization.
Key Responsibilities:
Administrative & Operational:
Supervise front office staff, providing training, support, and performance management Maintain organized electronic health records (AdvancedMD) and documentation
Financial & Billing:
Review and manage accounts receivable, follow up on outstanding balances Oversee medical billing Develop and manage budgets, track practice expenses, and prepare financial reports Work closely with the accountant/bookkeeper to reconcile monthly financials Monitor financial performance and provide reports to practice leadership Ensure timely collection of patient balances
Strategic & Practice Management:
Collaborate with the practice owners on practice goals and business development Manage payroll submissions, vendor contracts, and office supply inventory Participate in operational planning and process improvements to enhance efficiency Address patient concerns professionally and compassionately Human Resources Assist in HR functions such as onboarding and scheduling
Qualifications:
Previous experience as an office manager or administrative lead in a healthcare or mental health setting (required) Familiarity with electronic health record systems (AdvancedMD) Strong organizational and multitasking skills Excellent written and verbal communication Understanding of mental health privacy laws (HIPAA) Ability to lead and motivate a team High level of professionalism and discretion
Preferred:
