Job Summary X Engineering and Consulting is seeking a reliable and detail-oriented Office Administrator to support the day-to-day administrative operations of our Santa Ana office. This role provides front desk reception coverage and administrative support to the Office Manager, as well as light support to the Accounting and Marketing teams, helping to ensure the office runs smoothly and efficiently. This position reports to the Office Manager and is well suited for someone with 2 to 4 years of administrative experience who is organized, dependable, and comfortable supporting routine office operations while assisting with special projects as needed. Core Responsibilities Manage front desk reception area and serve as the first point of contact for visitors, candidates, vendors, and deliveries Answer and route phone calls, emails, and general office inquiries Maintain a clean, organized, and professional reception area, conference rooms, and common spaces Provide day-to-day administrative support to the Office Manager, including assistance with assigned initiatives and special projects Support onboarding and offboarding logistics, including desk setup, supplies and coordination with internal teams Coordinate scheduling for interviews, meetings, and office events Order and coordinate lunches for meetings and weekly team lunch Manage office supplies, snacks, and shared equipment inventory Coordinate routine office maintenance requests with building management or vendors Create and update documents, forms, spreadsheets, and PDFs Support Accounting with light administrative tasks, including data entry, document and records management, project setup assistance, coordination of approvals, and basic accounts payable and receivable support Support Marketing with light administrative and production tasks, including preparing and updating documents and PDFs, coordinating printing and materials, and assisting with event and marketing logistics All other duties assigned Qualifications High school diploma or equivalent 2 to 4 years of experience in an administrative, clerical, or office support role Experience supporting office operations or an office manager preferred Proficiency in Microsoft Word, Excel, Outlook, and working with PDFs Strong organizational skills with attention to detail Clear written and verbal communication skills Ability to manage multiple tasks and follow established processes Comfortable working independently and collaborating with a team Benefits
