We're a tight-knit team in an active growth phase — and we're looking for someone who can grow with us. About the Role This is not a traditional admin job. You'll work directly with our CEO and President to keep the business running smoothly across multiple domains — and you'll take on a meaningful role in the build-out and ongoing management of our Zoho CRM system, which is central to how we manage our pipeline, customer relationships, and service operations. Work arrangement:
Primarily remote. We ask that you visit our Englewood office a few times per week to collect, scan, and shred incoming mail. Must be Colorado-based.
What You'll Do:
CRM & Operations (Primary Focus) Drive day-to-day use and data integrity of our Zoho CRM — entering, cleaning, and maintaining records across customers, vendors, opportunities, and contacts Support the ongoing implementation and buildout of Zoho modules and workflows in collaboration with leadership Identify data gaps and process inefficiencies; help build better habits and workflows across the team Executive & Business Support Serve as an operational right hand to the CEO and President — tracking open items, preparing documents, and helping move business initiatives forward Handle ad hoc research, business correspondence, and special projects as needed Finance & AP/AR Support Assist with basic bookkeeping tasks including accounts payable and accounts receivable, in coordination with our bookkeeper Code and route vendor invoices; follow up on outstanding receivables when needed Customer & Vendor Communications Draft and send professional business communications on behalf of leadership Coordinate vendor outreach and manage purchase order logistics as needed HR Administration Support employee onboarding — paperwork, benefits enrollment, system setup Maintain organized employee records and assist with HR-related compliance tasks Office Administration Visit the Englewood office several times per week to process incoming mail (collect, scan, shred) Maintain digital filing systems and general administrative organization
What We're Looking For Required:
Located in Colorado with ability to visit our Englewood office several times per week High attention to detail; comfort with sustained data entry and record-keeping work Excellent written communication skills — you'll be drafting professional business emails regularly Strong proficiency in Microsoft Office or Google Workspace Hands-on experience with a CRM platform — Zoho strongly preferred; Salesforce, HubSpot, or similar considered 2-5 years of experience in an administrative, operations coordinator, or office manager role.
