Job Description
VF Electric is seeking an organized and reliable Office Administrator to support our day-to-day operations. This role is central to keeping the business running smoothly — handling incoming customer requests, coordinating technician schedules, managing billing, and providing general administrative support. The ideal candidate is detail-oriented, comfortable juggling multiple priorities, and confident communicating with both customers and field staff. This is a hybrid, part-time position reporting directly to the owners.
Key Responsibilities:
Manage intake: answer and route incoming calls, emails, and service requests from customers, and gather the details needed for job scheduling Handle dispatch: coordinate with field technicians to assign jobs, relay job details, and keep schedules updated in real time Manage scheduling: leverage technology to book appointments, maintain the technician calendar, and confirm appointments with customers Handle invoicing: prepare and send customer invoices, track outstanding balances, and follow up on payments as needed Manage bill payment: process incoming vendor bills and ensure timely payment, keeping accurate records of expenses Perform other administrative work as needed, including maintaining files and records, supporting basic bookkeeping tasks, and assisting owners with ad hoc projects
Qualifications:
Prior experience in office administration, dispatch, or customer service (experience in the trade or home services industry is a plus but not required) Strong organizational skills and the ability to manage multiple tasks and priorities Clear, professional communication skills for interacting with customers and technicians Comfort with basic office and scheduling software Familiarity with invoicing or bookkeeping tools such as QuickBooks is a plus Reliability and punctuality, since technicians and customers depend on timely scheduling and dispatch Self-starter mindset with the ability to work independently in a hybrid setup
Pay:
$17.00 per hour Expected hours: 24.0 per week
