Job Description

Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth and efficient operation of our office environment, providing exceptional administrative support, managing daily office functions, and delivering outstanding customer service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive workplace. Your energy and enthusiasm will help create a welcoming atmosphere for clients, visitors, and team members alike. Duties Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Oversee office management tasks such as filing, data entry, proofreading documents, and maintaining organized records. Handle calendar management and scheduling for meetings, appointments, and personal assistants' needs using Google Workspace or Microsoft Office tools. Assist with bookkeeping responsibilities utilizing QuickBooks or similar accounting software to track expenses and manage invoices. Provide exceptional customer support through courteous communication, addressing inquiries promptly via phone or email. Support clerical functions including typing reports, organizing files, managing office supplies inventory, and ensuring smooth day-to-day operations. Coordinate with medical or dental receptionists if applicable, ensuring compliance with relevant protocols and efficient patient or client flow. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Proficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry systems. Excellent communication skills with a focus on phone etiquette and customer service excellence. Ability to multitask effectively while managing time efficiently in a fast-paced environment. Bilingual abilities are a plus to serve diverse clients and team members effectively. Experience with clerical tasks such as proofreading, filing, and maintaining accurate records is highly desirable. Knowledge of QuickBooks or bookkeeping experience is advantageous for financial responsibilities. Prior experience as a receptionist—medical or dental—is beneficial but not required; training will be provided for specific protocols.
