We are seeking an organized, detail-oriented professional to oversee our financial and administrative operations while supporting our continued growth. Position Summary The Office & Finance Manager is responsible for managing the day-to-day financial and administrative functions of the business. This individual will oversee QuickBooks, accounts payable, accounts receivable, invoicing, internal financial reporting, estimating support, and office administration. This position plays a critical role in maintaining accurate financial records, improving operational efficiency, and supporting leadership with timely reporting and analysis. Key ResponsibilitiesAccounting & Finance Manage all day-to-day activity within QuickBooks. Process customer invoices accurately and in a timely manner. Manage Accounts Receivable, customer collections, and payment tracking. Process vendor invoices and manage Accounts Payable. Schedule and execute weekly vendor payments. Reconcile bank accounts, credit cards, and company accounts. Prepare monthly Profit & Loss statements and other internal financial reports. Assist ownership with budgeting, forecasting, and financial analysis. Track job costs and project profitability. Maintain organized financial records for CPA and year-end reporting. Estimating & Project Support Prepare customer estimates and proposals. Coordinate estimate revisions and approvals. Assist with purchase orders and vendor pricing. Track project documentation and customer files. Support project managers with administrative tasks as needed. Administrative Operations Maintain organized office systems and documentation. Coordinate vendor relationships and office purchasing. Answer and route customer inquiries professionally. Assist with scheduling, reporting, and internal communications. Maintain customer contracts, warranties, and service records. Identify opportunities to improve office processes and efficiency. Qualifications 2+ years of bookkeeping, accounting, office administration, or finance experience. Strong QuickBooks experience is required. Experience with Accounts Payable, Accounts Receivable, invoicing, and financial reporting. Excellent organizational and time management skills. Strong attention to detail and accuracy. Proficient in Microsoft Office (Excel, Outlook, Word). Excellent written and verbal communication skills. Ability to manage multiple priorities in a fast-paced environment. Experience in construction, service, automotive, or equipment industries is a plus. Preferred Skills Job costing experience. Estimate or proposal preparation. Basic understanding of financial statements and P&L reporting. Vendor management experience. Payroll experience is a plus but not required.
