Job Description
Overview The Office Manager is the connective tissue between our customers, our technicians, and the paperwork that keeps the business moving. You'll be the friendly voice that answers the phone, the person coordinating the day's schedule with our field team, and the one making sure invoices go out accurately and on time. This is a full-time, hybrid role based at our Sandwich location, reporting directly to the owner. Responsibilities Monitor phone, email, and other communication channels throughout the day, and respond promptly and professionally to new leads and existing customers. Field and answer scheduling and billing questions, routing more complex or technical issues to the appropriate team member. Serve as a warm, helpful first point of contact — every call and message should reflect the Gault Enterprises standard of professionalism and honesty. Communicate with customers to assign and confirm service calls on technicians' schedules, balancing urgency, location, and technician availability. Schedule upcoming and recurring maintenance visits. Keep the schedule accurate and current and proactively communicate any changes to both technicians and customers. Check in with technicians after completed jobs to review and polish invoices before they go out to customers. Send finished invoices promptly and follow up on outstanding balances as needed. Work Environment Primarily an in-office position at our Sandwich, MA headquarters, but open to incorporating remote work days for the right candidate. Frequent phone-based and messaging customer communication. Daily collaboration with ownership and the field team. Work schedule is 8am to 4pm. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Technical proficiency in computer literacy including data entry, filing systems, and general office technology. Excellent communication skills with the ability to handle phone systems and client interactions professionally. Bilingual abilities are a plus. Previous experience with QuickBooks or similar accounting software is preferred but not required. Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a proactive attitude to keep the office running seamlessly.
