Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This role is vital in ensuring smooth administrative workflows, maintaining a welcoming front desk presence, and supporting overall office efficiency. The ideal candidate will possess strong organizational skills, technical proficiency, and excellent communication abilities to foster a productive and positive workplace atmosphere. As an Office Manager, you will be the backbone of our administrative functions, ensuring all processes run seamlessly and efficiently. Duties Oversee daily office operations, including managing supplies, equipment, and maintenance requests to ensure a well-functioning workspace Serve as the primary point of contact for visitors, clients, and staff, providing exceptional customer service and professional phone etiquette Manage multi-line phone systems, directing calls accurately and efficiently while handling inquiries with professionalism Coordinate calendar management for executives and team members, scheduling meetings and appointments with precision Maintain organized records through data entry, spreadsheets, and word processing tasks using productivity software such as Microsoft Office and QuickBooks Handle clerical tasks including proofreading documents, managing correspondence, and supporting administrative projects Supervise front desk activities, including greeting visitors, managing mail distribution, and ensuring a welcoming environment Experience Proven experience in office management or administrative support roles with a strong background in clerical tasks and customer service Demonstrated proficiency with Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets for data organization Experience using QuickBooks or other accounting software for basic financial recordkeeping is preferred Strong computer literacy skills with the ability to learn new technical tools quickly Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Bilingual abilities are a plus to facilitate communication with diverse clients and team members Prior experience in front desk management or personal assistant roles that involved calendar management and client communication Join us in creating an efficient, welcoming office environment where your organizational talents can shine!
