Job Description
Overview We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This role is vital in ensuring smooth administrative functions, maintaining an efficient workspace, and providing exceptional support to staff and visitors alike. The ideal candidate will be proactive, detail-oriented, and possess a strong background in office management and administrative support. Your energy and enthusiasm will help foster a positive, productive atmosphere where everyone can thrive. Responsibilities Manage front desk operations, including greeting visitors, handling inquiries, and directing calls with professional phone etiquette. Operate multi-line phone systems efficiently, ensuring prompt and courteous communication. Oversee office supplies inventory, procurement, and filing systems to maintain organization and accessibility. Utilize software tools such as Microsoft Office, Google Workspace, QuickBooks, and data entry platforms to support administrative tasks. Coordinate calendar management and scheduling for meetings, appointments, and events while ensuring timely reminders. Support bookkeeping activities including invoicing, expense tracking, and basic financial recordkeeping. Assist with clerical duties such as proofreading documents, managing correspondence, and maintaining accurate records. Provide customer service support by addressing inquiries professionally and assisting clients or visitors as needed. Maintain office cleanliness and safety protocols to create a welcoming environment for all staff and guests. Support personal assistant tasks for executives or team members as required. Skills Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Experience with QuickBooks or similar accounting software for bookkeeping purposes. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Demonstrated office management experience with knowledge of clerical procedures and administrative best practices. Exceptional customer service skills combined with polished phone etiquette and professional demeanor. Bilingual abilities are a plus to serve diverse clients and team members effectively. Proven ability to handle data entry accurately while maintaining attention to detail; familiarity with proofreading is advantageous. Familiarity with multi-line phone systems, filing systems, calendar management, and time management techniques.
