Office Manager / Bookkeeper (Part-Time, In-Person)

As our company continues to grow, we're looking for a dependable, highly organized Office Manager / Bookkeeper to become an essential part of our team. This position combines bookkeeping, office management, customer service, and construction administration. This position will begin as part-time with the opportunity to grow into a full-time career as the company expands.IMPORTANT
This is a fully in-person position based in our Castle Rock, Colorado office. Remote and hybrid work are not available for this role. Applicants must be able to reliably commute to our Castle Rock office for all scheduled working hours. Please do not apply if you are seeking remote or hybrid employment. Position Summary The Office Manager / Bookkeeper is responsible for overseeing the day-to-day administrative and financial operations of the office while supporting ownership, customers, subcontractors, and vendors. This individual will play a key role in maintaining accurate financial records, coordinating office operations, supporting construction projects, and creating organized systems that help our business operate efficiently.Responsibilities:
Office Management Manage daily office operations and administrative tasks. Schedule appointments and coordinate calendars. Maintain organized digital and paper filing systems. Order office supplies and maintain office equipment. Process incoming and outgoing mail. Run occasional business errands, including bank deposits and post office trips. Develop and improve office procedures and organizational systems. Assist ownership with administrative projects as needed. Bookkeeping & Accounting Manage bookkeeping using QuickBooks Desktop. Process accounts payable and accounts receivable. Prepare customer invoices and process vendor payments. Reconcile bank and credit card accounts. Process payroll and maintain employee time records. Track project costs and assist with job costing. Maintain financial records and Excel reports. Assist with budgeting and financial reporting. Prepare records for the company's CPA and assist with month-end and year-end accounting processes. Construction Administration Maintain organized project files and documentation. Collect and maintain subcontractor W-9s, Certificates of Insurance (COIs), and other compliance documents. Assist with insurance audits and maintain insurance records. Coordinate jobsite logistics such as portable toilet rentals, dumpsters, deliveries, and miscellaneous jobsite supplies. Assist with permits, project paperwork, and administrative coordination. Communicate with subcontractors, suppliers, and vendors regarding required documentation and scheduling. Customer Service & Communication Provide friendly, professional customer service. Respond to administrative inquiries from customers and vendors. Coordinate design appointments and office scheduling. Communicate professionally with customers, subcontractors, suppliers, and business partners. Qualifications Required Minimum three years of bookkeeping, office management, or administrative experience. Experience with QuickBooks Desktop. Strong proficiency in Microsoft Excel and Microsoft Office. Excellent organizational skills with exceptional attention to detail. Strong written and verbal communication skills. Ability to prioritize multiple projects while meeting deadlines. Ability to work independently with minimal supervision. Professional, dependable, and trustworthy. Valid driver's license and reliable transportation for occasional local errands. Preferred Construction industry experience. Experience with payroll processing. Experience with job costing. Experience coordinating subcontractor documentation. Familiarity with insurance audits and year-end accounting support.
