As an Office Administrator , you will be an integral member of a small team in our TWC Phoenix Providence office. You will wear many hats as you manage the office activity, work with vendors and customers, perform bookkeeping, accounts payable/receivables, payroll, and billing, answering phones, and everything in between to support the business operations.
Responsibilities:
Requisition and track projects, submit to insurance, and set up for billing Handle all the certified payroll reporting and submit hours for all field employees Create client billing, enter payables into the system, and scan checks into the bank Perform monthly Alliant upload and month end payroll reporting and insurance coverage Use Quantum Project Management for weekly certified payroll while completing RI form requirements. Upload payroll into LPC Tracker Complete and submit Building Futures - RI weekly payroll reports Create and send lien waivers with requisitions for vendors and material suppliers Send the company and material warranty information at the end of projects to project owners Review estimates to create and submit proposals (i.e., in a word document) Perform AIA billing, including forms for customers, scope of work and value completed to bill out items monthly using Textura and other programs Close out projects, including product data and submittals, all spec data sheets for any material installed, along with the warranty information Set up projects, create job folders, process contracts, order insurance certificates, and performance bonds (if needed) Identify and coordinate office repairs and needs; answer phones and provide general office support Serve as a Notary in the office Perform other duties or responsibilities as assigned
Requirements:
3+ years of Office Administrator/Manager experience 2+ years bookkeeping with related accounting experience Strong assertiveness and verbal/written communication skills Experience with inputting data, reporting, and completing forms Construction or trades related office experience is a plus Ability to multitask and prioritize in a fast-paced environment Strong skills with Microsoft Office; experience with Procor a plus Applicants must be authorized to work for any employer in the U.S. We are unable to sponsor or take over sponsorship of an employment visa for this position.
