Job Description
Position Summary The Office Manager serves as the operational foundation of a dynamic, multi-entity organization, providing comprehensive administrative leadership across 5 business entities encompassing approximately 150 employees. This pivotal role is responsible for ensuring seamless day-to-day office operations, managing administrative staff, and fostering a productive, well-organized work environment. The Office Manager directly supervises the administrative team members and provides functional oversight to other administrative reports, serving as a key liaison between leadership and staff. Core Responsibilities Oversee all day-to-day office operations and administrative functions across all 5 organizational entities, ensuring consistency and efficiency. Maintain an impeccably clean and exceptionally organized office, while continually seeking improvements and implementing preventative maintenance to uphold the highest possible standards of the work environment. Develop, implement, and continuously improve office policies, procedures, and systems to support organizational goals. Manage office facilities, vendor relationships, supply procurement, and equipment maintenance to ensure a fully operational work environment. Coordinate scheduling, meeting logistics, and event planning for leadership and staff. Serve as the central point of contact for facilities management, parking, lunch, and building services. Directly supervise, mentor, and evaluate a team of direct reports, providing ongoing coaching, performance feedback, and professional development support. Provide functional guidance and coordination by having a direct connection with other administrative assistants across all entities, ensuring alignment with office standards and priorities. Assign, delegate, and monitor workloads across the administrative team to ensure balanced capacity and timely completion of tasks. Conduct regular one-on-one meetings and team huddles to maintain open communication and team cohesion. Serve as the primary administrative liaison across all 5 entities, ensuring consistent operational standards and procedures. Coordinate cross-entity communications, shared resources, and joint initiatives to maximize efficiency and minimize duplication of effort. Track and report on administrative budgets, expenditures, and resource allocation across entities. Support executive leadership with cross-entity reporting, presentations, and strategic administrative projects. Other duties as assigned by management. Qualifications Minimum of 5 years of progressive experience managing a complex, high-volume office environment, including direct supervision of office support staff. Demonstrated ability to manage administrative functions across multiple departments, divisions, or entities simultaneously. Proven supervisory experience, including hiring, training, evaluating, and developing administrative personnel. Exceptional organizational skills with the ability to prioritize, multitask, and meet deadlines in a fast-paced environment. Strong interpersonal and communication skills (written and verbal) with the ability to interact professionally at all levels of the organization. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software/systems. High degree of discretion and integrity when handling confidential information. Bachelor's degree in business administration, management, or a related field - a plus. Experience supporting a multi-entity or multi-site organizational structure - a plus.
