This vital role combines front desk responsibilities with administrative management, creating a welcoming atmosphere for visitors and providing essential support to our staff. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to handle a variety of tasks efficiently. Your energy and enthusiasm will help foster a productive and positive workplace culture. Responsibilities Greet visitors, clients, and vendors with professionalism and warmth, managing multi-line phone systems and front desk operations. Manage calendar schedules, appointments, meetings, and conference room bookings to optimize team productivity. Oversee vendor management by coordinating supplies, services, and maintaining good relationships with external partners. Handle clerical duties such as filing, data entry, bookkeeping, and maintaining organized records for easy access. Support human resources functions including onboarding new employees, assisting with training & development initiatives, and maintaining employee records. Assist with office management tasks such as budget tracking, petty cash handling, and ensuring the office environment remains organized and efficient. Coordinate event planning activities for team meetings, company events, or community outreach programs to foster team spirit. Skills Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in QuickBooks or similar accounting software for bookkeeping and payroll processing. Experience in supervising or managing teams, along with excellent communication skills to facilitate effective teamwork. Knowledge of medical office management or healthcare administrative procedures is a plus. Skilled in scheduling management, calendar coordination, and multi-line phone systems to handle high call volumes professionally. Ability to manage vendor relationships effectively while overseeing office supplies and services. Strong attention to detail in filing systems, record keeping, and compliance documentation. Capable of training new staff members and supporting ongoing development initiatives within the team.
