Job Description

Job Summary We are seeking a dependable and organized Office Manager/Bookkeeper to run a small neighborhood HOA office. This vital role combines office management with financial oversight, ensuring smooth daily operations and accurate bookkeeping. The ideal candidate is detail-oriented, and possesses excellent communication skills. You will be the backbone of our office, handling administrative tasks, resident questions, and maintaining financial records. Responsibilities Oversee daily office operations, including front desk management and providing communication support from the Board Manage appointment scheduling, calendar coordination, and meeting arrangements for staff and clients. Handle bookkeeping duties using QuickBooks online, including invoicing, expense tracking, and bank reconciliations. Provide outstanding customer service by greeting visitors, answering inquiries, and supporting client needs with professionalism and warmth. Maintain organized filing systems, data entry accuracy, and document proofreading to ensure all records are up-to-date and error-free. Support administrative functions such as typing correspondence, managing office supplies inventory, and coordinating personal assistant tasks as needed. Assist with office management duties like organizing files, managing office equipment, and ensuring a clean, efficient workspace. Requirements Proven experience in office management or administrative roles with a strong background in clerical tasks. Proficiency in QuickBooks, Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and general computer literacy. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Strong customer service skills Knowledge of bookkeeping practices including data entry and financial recordkeeping using QuickBooks or similar tools. Exceptional attention to detail for proofreading documents and maintaining accurate records. This is a relaxed part time position with a flexible schedule while making a meaningful impact every day!
