Job Description

Position Summary The Office Manager is responsible for overseeing the administrative, financial, payroll, scheduling, and human resources functions of Adam's Nursery & Landscaping. This position plays a vital role in supporting daily field operations by coordinating schedules, processing payroll, managing customer accounts, and ensuring the office operates efficiently and professionally. Essential Duties and Responsibilities Prepare and manage weekly lawn maintenance schedules. Coordinate daily schedules with lawn maintenance, landscaping, irrigation, and installation crews. Communicate scheduling changes with field supervisors and customers. Invoice customers for landscaping, lawn maintenance, irrigation, plant installations, and other services. Process accounts payable, including vendor invoices and purchase orders. Pay company utility bills and other recurring expenses. Prepare bank deposits and assist with account reconciliations. Process weekly payroll to ensure employees are paid accurately and on time. Track employee attendance, overtime, vacation, and missed punches. Complete new hire onboarding, including employment paperwork and QuickBooks Payroll setup. Maintain employee personnel files and payroll records. Assist with payroll administration, employee documentation, and other human resources functions. Maintain accurate customer accounts, service records, and billing information. Answer customer calls, respond to inquiries, and provide exceptional customer service. Maintain organized financial, operational, and customer records. Order office supplies and maintain office equipment. Prepare reports and assist ownership with budgeting, financial reporting, and administrative projects. Ensure compliance with company policies and employment requirements. Maintain confidentiality of company, customer, employee, and financial information. Perform other administrative duties as assigned. Qualifications High school diploma or GED required; associate degree in business, accounting, or a related field is preferred. Previous office management, bookkeeping, or administrative experience preferred. Experience with QuickBooks, QuickBooks Payroll, invoicing, and accounts payable/receivable. Proficiency with Microsoft Office, including Excel, Word, and Outlook. Strong organizational, time-management, and problem-solving skills. Excellent verbal, written, and customer service communication skills. Ability to prioritize multiple responsibilities in a fast-paced environment. High level of professionalism, discretion, and attention to detail. Ability to work independently while supporting a collaborative team environment. Physical Requirements Ability to sit for extended periods while working on a computer. Ability to occasionally lift up to 25 pounds. Ability to move throughout the office, nursery, and job site as needed. Work Schedule Monday through Friday Benefits Benefits are available based on employment status and company policy.
Pay:
$18.00 - $25.00 per hour Expected hours: 40.0 per week
