ROLE OVERVIEW
The Service Office Manager is the operational backbone of the Service Division — the person who ensures every job is cleanly closed, accurately processed, and fully resolved after the technician leaves the home. This role owns everything that happens after the work is performed. You are the bridge between the field and the office. The final checkpoint. The detail owner. The one who ensures nothing slips, nothing lingers, and nothing gets missed. This is a high-responsibility role for someone who lives in the details, thrives on organization, and takes pride in clean execution.KEY RESPONSIBILITIES
Post-Service Job Execution Own the full lifecycle of every service job after completion Review, audit, and finalize all jobs in the CRM for accuracy Ensure notes, photos, invoices, and documentation are complete and correct Verify pricing, scope, and billing alignment before closing jobs Close out jobs in ServiceTitan and batch for export to accounting ( Sage Intacct ) Ensure every job is clean, complete, and financially accurate Post-Job Customer Experience Respond to billing questions, callbacks, and service-related concerns Coordinate with technicians and leadership to resolve issues quickly Ensure a professional, clear, and high-trust customer experience Protect the ELITE brand through strong follow-through and communication Technician Support & Job Accuracy Support technicians with after-the-fact job questions and corrections Identify missing or incorrect job details and get them resolved Hold technicians accountable to proper job closeout standards Act as the bridge between field execution and office accuracy Surface recurring issues or breakdowns in technician workflows Accounts Receivable & Collections Own A/R for all completed service work Track unpaid invoices and maintain a clean aging report Follow up consistently on outstanding balances Coordinate payment resolutions with customers when needed Drive strong cash flow through disciplined collection processes Systems, Data Accuracy & Process Discipline Maintain high integrity of CRM data across all service jobs Ensure all workflows are followed consistently and correctly Audit job records for completeness and accuracy Identify inefficiencies or breakdowns in process and fix them Support SOPs for job closeout, billing, and post-service workflows Operational Control & Visibility Track job status from completion → closeout → payment Ensure no job is left incomplete, unbilled, or unresolved Provide visibility into job flow, errors, and A/R status Catch problems early — before they hit customers or financials Serve as the final checkpoint for service job accuracyQUALIFICATIONS
Core Requirements 3-7+ years of administrative, operational, or service coordination experience Extreme attention to detail and organizational discipline Strong communication skills — clear, direct, and professional Ability to manage multiple workflows without losing accuracy High ownership mindset — sees things through to completion Comfortable in a fast-paced, high-growth environment Strong integrity and alignment with a Christian values-based culture Preferred Experience Home services, trades, or service-based business experience Experience with ServiceTitan or similar CRM systems Familiarity with job costing, invoicing, and billing processes Background in customer service or service coordinationWHO THRIVES HERE
