Job Description

Job Summary We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This vital role involves managing front desk activities, coordinating communication channels, and supporting various administrative functions. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and proficiency with office management software. As an Office Manager, you will be the backbone of our office, fostering a productive and welcoming atmosphere for staff, clients, and visitors alike. Responsibilities Greet visitors and manage front desk operations with professionalism and warmth Answer multi-line phone systems promptly, directing calls efficiently and courteously Maintain organized filing systems, data entry, and document proofreading to ensure accuracy Manage calendar scheduling, appointment setting, and coordinate meetings for staff and executives Oversee office supplies inventory, order necessary materials, and handle basic bookkeeping tasks using QuickBooks or similar software Support administrative tasks such as copying, scanning, mailing, and maintaining office equipment Provide exceptional customer service by assisting clients and visitors with inquiries and support needs Manage correspondence via email and Google Workspace applications to ensure timely communication Facilitate office management duties including organizing files, maintaining cleanliness, and ensuring a professional environment Qualifications Proven experience in office management or administrative roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Strong computer literacy including data entry, typing speed, proofreading, and file management Experience handling multi-line phone systems and phone etiquette with professionalism Bilingual abilities are a plus to support diverse client needs Prior experience as a receptionist or personal assistant is advantageous Knowledge of bookkeeping software such as QuickBooks is preferred Exceptional customer service skills with a friendly demeanor and positive attitude Ability to manage time efficiently while prioritizing tasks to meet deadlines Join us as an Office Manager to lead our administrative team with enthusiasm!
