Job Description

Job Overview We are seeking an energetic and highly organized Office Manager to lead the daily operations of our busy office environment. This pivotal role involves overseeing administrative functions, managing communication channels, and ensuring a smooth workflow across all departments. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and technical proficiency to foster a productive and welcoming workplace. You will serve as the backbone of our office, supporting staff, clients, and visitors with professionalism and enthusiasm. Duties Manage front desk operations, including greeting visitors, making coffee, answering multi-line phone systems, and directing calls with excellent phone etiquette Oversee office management tasks such as printing, filing, data entry, maintaining supplies, organizing meetings or appointments and taking notes using calendar management tools Utilize productivity software including Microsoft Office (Word, Excel, Outlook) and Google Workspace to prepare documents, spreadsheets, and correspondence Handle bookkeeping responsibilities for sales order, invoicing, expense tracking, and financial record keeping Provide exceptional customer support by assisting clients in person or via phone and email communication Maintain accurate records through proofreading, data entry, filing systems, and document management Organize employee appreciation events to foster team morale. Assist with personal assistant tasks such as calendar coordination, travel arrangements, and task prioritization to enhance executive productivity Complete or update paperwork, including employee handbooks, credit applications, and customer information. Assist with light health and safety, human resources, and internal marketing tasks. Experience Familiarity with multi-line phone systems, data entry processes, and office software including Microsoft Office Suite (Word, Excel), experience with Sage Accounting software is desirable. Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Demonstrated organizational skills with the ability to multitask efficiently while maintaining attention to detail Strong computer literacy with technical proficiency in productivity software and office equipment Desirable traits include; taking initiative, being a resourceful problem solver with a proactive attitude, having a commitment to self-improvement and continuous learning. Ability to work independently and collaborate effectively with team members. Excellent time management skills combined with professional phone communication etiquette to support seamless office operations. Pay:
$24.24 - $30.00 per hour Expected hours: 40.0 per week
