Job Description
Position Summary Urban USA is a luxury automotive brand specializing in aftermarket styling and performance modifications for high-end vehicles. As our business continues to grow, we are looking for a highly organized and motivated individual to support our expanding office operations through a variety of administrative and operational tasks. This position will support daily office, accounting and sales operations through close coordination and collaboration with our Operations Manager. This is a full-time, in-office position working on a computer five days per week with a small, local team. This position offers an opportunity to contribute to a positive, drama-free professional setting where skill and professionalism are embraced and rewarded. The ideal candidate is a skilled problem solver who possesses above average multitasking abilities, an eye for detail and is highly skilled with computer accounting/office software such as Excel, Quickbooks, etc. Previous Automotive experience is a plus, but not a requirement.

Operations/Administration Responsibilities Maintain organized records and documentation of office and operational activities. Raise and manage purchase orders from suppliers in our inventory system. Book in orders once freight has arrived to our warehouse. Update sales orders for the warehouse for fulfillment once inventory is received and the customers/dealers have paid their invoices. Communicate daily with the warehouse team to ensure sales orders are processed and shipped out efficiently. Provide general administrative support to the upper management team. Maintain a clean, organized, well-prepared office setting. Manage front desk operations, answer and route phone calls appropriately with professional phone etiquette. Provide excellent customer support by promptly addressing or routing any inquiries received via phone or email relating to sales, shipping, returns or warranty requests to the relevant department. Monitor accounting email inbox for general accounting activities. Allocate incoming customer/dealer payments to the appropriate invoices. Assist with organizing receipts for company expenses in our software. Assist with adding supplier bills to Quickbooks for our accountants to allocate recent payments. Monitor sales order statuses and assist in resolving any dispatch related issues. Support inventory accuracy by assisting with quarterly stock checks and processing documentation when required. Process incoming returns received by our warehouse team in our inventory system and credit/return funds to the customer. Perform clerical duties such as photocopying, scanning, mailing, and preparing correspondence in support of our private dealership's automotive sales division. Experience Proven office management, HR, bookkeeping or administrative experience in a professional setting. Strong computer literacy with proficiency in Microsoft Office Suite (Excel, Outlook, Word), Quickbooks and Google Workspace applications. Demonstrated organizational skills with the ability to prioritize tasks efficiently in a challenging environment. Bilingual skills are a welcomed plus to effectively communicate with our diverse clients/dealers across North and South America. Previous experience in the Automotive industry is highly desirable to aid in a proper understanding what our products are and what they do.Pay:
