Overview We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting staff, and providing exceptional customer service. The ideal candidate will possess strong organizational skills, technical proficiency, and a proactive attitude to keep our office running seamlessly and foster a positive workplace atmosphere. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Oversee office supplies inventory, procurement, and filing systems to ensure resources are readily available and organized. Coordinate calendar management, schedule appointments, meetings, and events using productivity software and Microsoft Office tools. Perform data entry tasks with accuracy using spreadsheets and word processing applications; proofread documents for clarity and correctness. Support administrative functions such as document preparation, photocopying, scanning, and maintaining comprehensive filing systems. Assist with client communication and customer support efforts to enhance service quality and build positive relationships. Utilize QuickBooks for basic bookkeeping tasks when necessary; manage invoices, expense reports, and financial records. Maintain office equipment functionality and troubleshoot technical issues related to computer literacy and office management tools. Experience Proven experience in office management or administrative roles with a strong background in clerical work and customer service. Familiarity with multi-line phone systems, calendar management, data entry, and file organization. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with productivity software for efficient workflow management. Experience using QuickBooks or similar accounting software is preferred but not required. Bilingual abilities are a plus to support diverse client interactions and team communication. Demonstrated organizational skills with the ability to prioritize tasks effectively while managing multiple responsibilities. Strong computer skills including typing speed, proofreading capabilities, and technical proficiency in office equipment maintenance.
